Variables can be added to articles, clauses, spec notes, org notes and tables by anyone who can edit these items. More specifically, you can insert a variable anywhere where you can change the formatting of text. Therefore, you can add a variable to an article or clause body, but you cannot add it to the article/ clause prefix, title, suffix and row label fields.


When adding variables into masters or any other specification content that is indented to be copied into other projects or masters, it is strongly recommended that only organization variables are added/ used. This is because project and master-level variables will become missing when they are copied into other projects/ masters that do not have the same variable set-up. How to add a variable

Variables are added using a keyboard shortcut. They can be added to any text container that supports text formatting. Therefore, variables can be added to articles, clauses, spec and org notes, and tables. 


To insert a variable:

  1. Click on the place where you want to insert the variable.
    Note: variables cannot be added to the article or clause code, prefix, title or suffix fields.

  2. Use the keyboard shortcut, which is the Tilde symbol ~. To enter a ~ symbol:
    • For Windows PC: Press Shift + ~# Key (Shift + the Tilde / Hash key ‘ ~# ’).
    • For Apple Mac: Press Shift + ~` Key (Shift + the Tilde / Back Tick key ‘ ~` ’).

  3. Select the variable from the menu. Either continue typing the variable name or value and select from the filtered list of variables, or scroll and select from the list.
