Cross-project and master search permissions

'Org users' can search articles and clauses across all the projects and masters held by the organization. The results that appear after a search are determined by your role in the organization and the confidential status of the project or master.

By default:

  • Org administrators – see search results from all projects and masters, including those marked as confidential.
    • Org administrators will not see results from specifications they have been excluded from.
  • Org users and guests – only see search results from the projects and masters they are members of.
    • Org users* and guests will not see results from specifications they have been excluded from.
    • Org users* and guests will not see results from projects and masters they are not invited to.

*Org administrators can allow their org users to see results from all projects and masters, including those the users are not members of; however, this is turned off by default. Please see the ‘Allow org users to search all projects and masters‘ section below.

Allow org users to search all projects and masters

'Org administrators' can allow org users to search all projects and masters, including those they are not members of. Enable this setting when you want org users to find specifications in projects or masters they are not involved in.

How to allow org users to search all projects and masters

  1. Org administrators go to the ‘Organization settings’.
  2. Under ‘Search projects and masters’, check the checkbox for ‘Allow org users to search across all projects and masters, including the ones they are not a member of’.

Please note:

  • The ‘Search projects and masters’ in ‘Organization settings’ is only shown to organizations that subscribe to 'Premium'.
  • When the ‘Allow org users to search across all projects and masters...’ is checked, Org users will not see results from ‘Confidential’ projects unless they are a member.

Opening a search result in the editor

When the search result is from a specification you have ‘Reader’ or above, the search result titles are hyperlinks. Clicking the search result title will open the article or clause in the editor.

For results from projects and masters you do not have permission for, the platform shows a snippet of the result and which user(s) are the administrators.
